Terms and Conditions for Using Sutumatic System

This document constitutes a formal binding agreement between Sutum for Information Technology LLC, Commercial Registration No. (4030474070), and the end user of the system. It outlines the terms governing the use of Sutumatic's services, including its software, reports, and associated content.

 

1- System Definition

Sutumatic is a cloud-based Enterprise Resource Planning (ERP) system that enables businesses to manage all accounting and operational processes from a unified platform. Core systems include:
  • Accounting System (entries, reports, financial statements)

  • POS and cashier system

It also includes specialized operational modules developed based on need, such as:
  • Property and real estate management

  • Hotel and booking management

The system is continuously enhanced with additional solutions to serve various sectors.

 

2- Registration and Use

  • Accurate and up-to-date information must be provided upon registration.

  • Sutumatic reserves the right to reject, suspend, or delete any account containing incorrect data or illegal usage.

  • The system is only to be used by authorized entities or individuals.

  • Sutumatic reserves the right to terminate any free or paid account without prior notice in case of suspicious registration or policy violation.

 

3- Login and Account Use

  • Account sharing between users is strictly prohibited.

  • Only one active session is allowed per account.

  • Multiple logins from various devices or locations may trigger a temporary suspension pending verification.

  • It is recommended to assign individual accounts to each user.

 

4- Subscription Suspension and Reactivation

  • When payment stops, the account is moved to "read-only" mode.

  • No operations can be performed until reactivation.

  • Upon payment, full access is restored.

 

5- Access After Subscription Expiry

  • Users can access the system in read-only mode for 6 months.

  • Viewing and printing of invoices and reports is allowed.

  • After 6 months, Sutumatic may delete the data without further notice.

 

6- Data Protection and Confidentiality

  • Sutumatic commits to securing user data in a safe environment.

  • No data is shared with external parties unless required by law.

  • Users are responsible for protecting their login credentials. Any access through the account is considered their responsibility.

 

7- Custom Projects and Advance Payments

  • Any custom-developed project agreed upon is non-refundable if the client withdraws after execution begins.

  • Costs of work already performed will be deducted from the advance payment.

 

8- Subscriptions and Payment

  • Subscriptions begin upon payment and auto-renew unless canceled.

  • All paid fees are non-refundable except under the refund policy.

  • Sutumatic reserves the right to adjust prices at any time with prior notice.

 

9- Intellectual Property Rights

  • All intellectual property rights related to Sutumatic and its services, including any user-submitted or uploaded content, belong exclusively to Sutumatic. No part may be reproduced, shared, or used without prior written permission.

 

10- Refund Policy

  • A refund request may be submitted under the following conditions:

  • Annual subscriptions: Eligible for refund within 30 days from activation.

  • Monthly subscriptions: Eligible for refund within 7 days from activation.

  • Refunds apply only if a full technical failure prevents access for more than 24 hours after reporting it to support.

  • Refunds are not granted for subscriptions involving custom programming services.

Refund Request Steps:
  • Confirm eligibility.

  • Submit the request via support or through the subscription settings page by selecting "Cancel Subscription."

  • A response will be issued within 3–5 business days. If approved, the refund will be processed within 7–14 business days.

 

11- Updates and Maintenance

  • Sutumatic may update or temporarily suspend the system for maintenance or feature enhancements.

  • If suspension occurs, users will receive an equivalent extension to their subscription.

 

12- Indemnification

By agreeing to these terms, you agree to indemnify Sutumatic, its affiliates, employees, and representatives from any losses, claims, or legal fees arising from:
  • Violation of any clause of this agreement.

  • Infringement on third-party rights.

  • Misuse of the system or provided services.

 

13- Termination

  • Users may cancel their subscription at any time.

  • Sutumatic reserves the right to suspend or permanently terminate any account without notice in case of violations or false data.

 

14- Promotions, Referrals, and Commissions

  • Sutumatic may offer temporary or permanent promotions on certain packages.

  • Each promotion is subject to its own terms, publicly declared.

  • A referral program ("Ambassadors") is available to reward users recommending or selling Sutumatic, based on a separate agreement.

  • Sutumatic may modify or cancel these programs without prior notice.

 

15- Third-Party Service Providers

  • If the client requests services via external providers (e.g., accountants, consultants, trainers), this is subject to direct agreement between the client and provider.

  • Sutumatic bears no responsibility for outcomes or obligations arising from such services.

 

16- Governing Law

  • This agreement is governed by the applicable laws of the Kingdom of Saudi Arabia. Courts of Jeddah shall have jurisdiction over any dispute.

 

17- Dispute Resolution

  • In the event of a disagreement regarding the interpretation or execution of this agreement, both parties agree to attempt amicable resolution within fifteen (15) business days from written notice. If no resolution is reached, either party may proceed to refer the matter to the competent courts in Saudi Arabia.
